Process-first system design
One to two weeks of process interviews and observation produce a complete map of how you actually work — including the exceptions and the rules everyone knows but nobody wrote down. The system is designed against that map, not against other clients we've seen.
AI that assists judgement, not replaces it
Where judgement is involved — credit assessment, order prioritisation, exception triage — the AI proposes an option with its reasoning and you decide. The system records your decisions and gradually learns your standards.
Integrates the tools you already have
We don't ask you to abandon what you have. Whatever can connect does — accounting, inventory, email, calendar, WhatsApp — so the new system becomes the layer tying them together rather than the seventh tool to learn.
Interfaces designed per role
The owner sees an overview and exceptions, front-line staff see today's tasks, accounts sees documents and ledgers. One system, different views — nobody has to learn every function.
Ownership and portability
Source code, database and documentation are all handed over. We also deliberately avoid locking core logic anywhere only we understand — documentation is written so another developer could take over. You shouldn't be tied to us for technical reasons.
Staged delivery and acceptance
A six to ten week project splits into three or four stages, each ending with something genuinely usable, accepted by you before that stage is invoiced. There is no scenario where five months pass and you've seen nothing.

Every stage ends with something you can look at. You approve it before the next one starts, so you are never wondering how far along it is.
Process interviews and observation (1–2 weeks)
We interview you and your front-line staff separately, and observe on site where practical. The focus is exceptions — what breaks a system is rarely the main path, it's the edge cases.
Specification and stage plan
The process map and specification become a document we walk through with you page by page, then split into stages. That document is also the basis of the quote — with scope written down, there's no later argument about what was included.
Build and pilot, stage by stage
After each stage you and your staff pilot it for two weeks and we gather feedback before the next stage. Real usage is far more accurate than a specification, and we leave room for that.
Full launch, training, handover
Role-based training, data migration, parallel running, then cutover. All source code and documentation are handed over with a 60-day fix window. After that you can take a maintenance plan or take it in-house.
FAQ
What people ask before we quote
Against a first year of SaaS fees, yes — the upfront investment is higher. But the fair comparison is three-year total cost, plus whether anyone actually uses it. Off-the-shelf charges per seat, so cost rises linearly with headcount, and a poor process fit adds the hidden cost of working around it. A custom system is a one-off build plus relatively low maintenance. Our own rule of thumb: if off-the-shelf software covers eighty percent or more of your process, don't go custom — we'll say so and point you at a suitable product. Custom is worth it only when the process is genuinely unusual, or when the cost of working around a product is too high.
The system is yours. Source code, database, deployment configuration and technical documentation are all in your hands at handover, without you having to ask. We write documentation to the standard that a competent mid-level developer could take over without our help — architecture notes, data structures, deployment steps and known limitations. It isn't in our short-term commercial interest, but we think clients should stay for the quality of the service, not because leaving is technically impossible.
This is the part most often underestimated, so plainly: process interviews take roughly six to ten hours across several sessions; specification sign-off three to four; pilot feedback two to three hours per stage; final training two to four. Around fifteen to twenty-two hours total, spread over six to ten weeks. Front-line staff need two to four hours each as well. If you genuinely have no time to participate, we'd suggest postponing — without your process knowledge the whole point of custom work disappears, and what gets built is just another system nobody uses.
